1. Who We Are

2. Information We May Collect
Depending on how you interact with VERICA, we may collect your name, email address, optional telephone number, appointment date and time, booking information, payment and transaction information, communications you send, and technical information generated when you use the website or online services where applicable.
3. Health and Other Sensitive Information
VERICA does not routinely ask clients to submit detailed medical or mental-health information through the general booking form. Where relevant to suitability or safety, limited health or mental-health information may be discussed verbally during a session. VERICA does not routinely retain this verbally disclosed health information after the session.
4. Why We Use Personal Information
Personal information may be used to process and administer bookings, provide sessions, communicate with clients, process payments and refunds, prepare for sessions, provide technical or administrative support, comply with legal/accounting/regulatory obligations, and protect legitimate business interests or legal claims where necessary.
5. Legal Bases for Processing
Depending on the purpose, VERICA may rely on performance of a contract, legal obligation, legitimate interests, or consent. Sensitive or special-category information is subject to additional legal requirements.
6. Booking and Communication Services
VERICA expects to use third-party services including Google Calendar for scheduling, Google Meet for online sessions and Digistore24 for payment processing. These providers may process personal information according to their own contractual and privacy arrangements.
7. Payments
Payments are processed through the payment provider presented during the booking process. VERICA does not need to receive or store full payment-card details where those details are handled directly by the payment provider.
8. Telephone Numbers
Providing a telephone number is optional. Where supplied, it may be used as an alternative contact method if there is a technical interruption or where VERICA reasonably needs to contact you about your appointment. It is not by itself consent to marketing.
9. Session Recordings
VERICA does not routinely record sessions. If recording were ever separately agreed, the client would first be informed about the purpose and relevant data handling arrangements.
10. Client Notes and Records
VERICA may retain limited administrative or client records where reasonably necessary to provide services, maintain continuity, comply with legal obligations or protect legitimate interests. Detailed health histories disclosed verbally are not routinely retained.
11. How Long Information Is Kept
Personal information will be retained only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, tax, contractual or dispute-related requirements. Different categories may have different retention periods.
12. Sharing Personal Information
VERICA may share personal information where reasonably necessary with appointment and communication providers, payment providers, IT/hosting providers, professional advisers such as accountants or lawyers, and public authorities where disclosure is legally required. VERICA does not sell client personal information.
13. International Data Transfers
Some service providers may operate internationally or process information outside the United Kingdom. Where applicable data-transfer rules apply, VERICA will seek to ensure that an appropriate transfer mechanism or safeguard is in place.
14. Security
VERICA takes reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse or disclosure. No online system can guarantee absolute security.
15. Your Rights
Depending on the law applicable to you, you may have rights to access, correction, deletion in certain circumstances, restriction or objection, portability where applicable, withdrawal of consent where processing is based on consent, and complaint to an appropriate data-protection authority. Not every right applies in every circumstance.
16. Marketing
Booking a VERICA appointment does not automatically subscribe you to marketing communications. Any future newsletter or promotional mailing list will be handled separately.
17. Changes to This Privacy Policy
VERICA may update this Privacy Policy as its services, technology or legal obligations change. The current version will be made available on the website.
